Global Food Security Summit
Held in Abu Dhabi on 6–8 October 2026 under the theme "Global Collaboration for Food Security for All", the Global Food Security Summit 2026 brings together governments, international organisations, financial institutions, investors, industry leaders, researchers and innovators to address the challenges shaping global food systems.
Together with SIEF, WeCarbon delivered an Evane.ai-based programme management solution for GFSS 2026, supporting the successful delivery of the Global Food Security Summit.

The summit was organised by ADNEC Centre Abu Dhabi, with the Abu Dhabi Agriculture and Food Safety Authority as strategic partner.

The challenge
Many bodies, hundreds of documents, an agenda that changed every day
Planning an international summit is a coordination problem before it is an event problem. Ministries, government offices, the venue and international partners each held part of the picture, in their own documents, inboxes and meetings.
- Many departments and organisations working in parallel, each with its own owners, deadlines and approvals.
- Hundreds of files across shared drives, mail and spreadsheets, with no single place to find the current version.
- An agenda that moved daily: sessions, speakers, rooms and times, with every change rippling into briefs and protocol.
- Ministers, heads of delegation and VIP guests whose seating, schedules and briefings had to be right from the start.
How we did it
One live record, kept current by an agent, changed only with human approval
Together with SIEF, we supported the summit's programme management office with Evane AI, the AI project management agent built by WeCarbon. It attended the meetings, cleared the blockers, planned the work, delivered the outputs and tracked progress. Evane connected to the sources the team already used and built one live record of the summit: the agenda, the people, the organisations, the tasks and the documents behind them. The agent read every new meeting, message and file, and turned what changed into proposals the team reviewed and approved.
Agenda from the agenda documents
Sessions, speakers, rooms and times synced from the organisers' own agenda documents, so the record and the printed programme said the same thing.
Delegations, ministers and VIPs
Participants grouped by delegation and organisation, with roles, status and session links, ready for protocol and seating.
Meetings to action items
Planning meetings captured and summarised, with decisions and next steps turned into tracked tasks for the right owner. Team members could ask questions in plain language at any time.
Human approval on every change
The agent never edited the record on its own. Every change arrived as a proposal that a person approved, amended or rejected, with a trail kept.
Many sources, one record
Microsoft 365 mail and calendars, SharePoint files and Airtable bases synced into one place, with only the changes read on each pass.
Documents in set formats
Agendas, invitation letters, meeting guides, briefs and press releases generated in predefined formats, with every approval traceable.
A public event photo album
Hundreds of event photos published to a shareable album, organised by session, for partners and media.
Data kept in the UAE
The summit's workspace and its data were hosted in a UAE datacenter region.

Outcomes
Less coordination by hand, more time for the summit itself
- Among the first global events in the Middle East to be managed with AI.
- One shared, current view of the summit for every participating body, instead of a version per inbox.
- Meeting follow-ups that arrived as tasks with owners, not as notes waiting to be typed up.
- Daily agenda changes reflected across sessions, speakers and briefs without manual re-entry.
- Delegation and VIP records that protocol, registration and logistics could all work from.
- A setup that met the hosts' expectation that summit data stays in the country.
